Course Delivery
Course Delivery is the main work at the start of a term: opening classes, scheduling, registering students, and handling retakes and resits.
Course Offering List
Section titled “Course Offering List”What it is for. Opening course offerings for a term: which unit, which term, which delivery mode, taught by whom.
Who can open it. Anyone with permission to view course offerings.
Steps
- Go to Academic Operations → Course Delivery → Course Offering List.
- Click Create Course Offering.
- Choose the unit, the term, the mode and the remaining details, then save.
- To find an existing offering, type in Search courses…, or use the Filters panel — by module (All Modules), level (All Levels), type (All Types), status (All Statuses), or delivery mode (All Modes).
On screen. Two cards at the top: Total Offerings and Active Offerings.
Notes
- Offerings must exist before registration opens for students.
- The list is filtered to the selected campus by default. If an offering you expect is missing, check the
Campus:line in the top left corner. - Open an offering: the Students tab shows each student’s real attempt count as soon as they’re added to the class (it doesn’t wait for a grade record): Lần 1 (first attempt), Học lại lần N — chưa đóng/đã đóng (retake N — unpaid/paid), or Học lại lần N — bảo lưu (retake N — waived, back in class for free under a full/course defer, no retake registration needed yet). When a grade record is created, it keeps this same attempt count instead of defaulting to attempt 1.

Course Statistics
Section titled “Course Statistics”What it is for. Seeing how each unit is doing in a term: enrolment, attendance rate, overall results.
Who can open it. Anyone with permission to view attendance.
Steps
- Go to Academic Operations → Course Delivery → Course Statistics.
- Choose the term in Select semester.
- Find the unit using Unit code or name….
Note. You must choose a term first, otherwise the screen shows nothing.

Class Schedule
Section titled “Class Schedule”What it is for. Scheduling sessions for each offering: date, time, room.
Who can open it. Anyone with permission to view course offerings.
Steps
- Go to Academic Operations → Course Delivery → Class Schedule.
- Use the filter panel to pick a term, an offering, or a date range.
- View the schedule as a calendar or a grid.
- Click a session to open the edit panel on the right, then save.
Notes
- Check for room clashes and lecturer clashes before saving.
- Moving a session that has already happened will distort its attendance data.

Course Registration
Section titled “Course Registration”What it is for. Recording which students take which offering in the term.
Who can open it. Anyone with permission to view course registrations.
Steps
- Go to Academic Operations → Course Delivery → Course Registration.
- Use Filters to narrow by term, offering, or student.
- Click View for details, Edit to change, Delete to cancel a registration.
- When the list is still empty, click Register First Student to add one.
On screen. Three cards at the top: Total Registrations, Active Registrations, Pending Registrations.
Notes
- Cancelling a registration affects the student’s fees. Handle the money side in the Finance Office area.
- The Pending figure is outstanding work. Clear it before the term starts.

Retake Registration
Section titled “Retake Registration”What it is for. Registering students to retake a unit they failed.
Who can open it. Anyone with permission to view retake registrations.
Steps
- Go to Academic Operations → Course Delivery → Retake Registration.
- Filter to find the student or unit you need.
- Record the retake registration. The system charges the retake fee from the current pricing catalog; if the unit has no price configured yet, the system blocks and asks to configure it first.
- Click Xóa bộ lọc (Clear filters) if the list is not showing what you expect.
Notes
- The retake and resit create lists both show finalized failed records. An unfinished resit hides that record from retake; a retake registration (including already in class) hides that record from resit. A cancelled registration puts that record back on both lists.
- The retake fee always follows the current system pricing catalog, not an old amount stored on the unit.
- A paid registration that has not been linked to a class yet can still be cancelled: the money already collected becomes unapplied credit for the student’s future fees (no refund to their account). A linked registration cannot be cancelled.

Exam Resit — Thi lại
Section titled “Exam Resit — Thi lại”What it is for. Registering resits and scheduling resit exams on one screen. It has two tabs — Registrations (students registered for a resit) and Schedule (exam slots, unit sessions, and invigilators). These used to be two separate menu items (Thi lại and Lịch thi lại) and are now one screen.
Who can open it. Anyone with permission to view exam resits sees the Registrations tab; anyone with permission to manage the resit schedule sees the Schedule tab. Staff with both permissions see both tabs.
Registrations tab
- Go to Academic Operations → Course Delivery → Exam Resit (the Registrations tab opens by default).
- Filter by operation status or term, or type a student name, student ID, or unit code into the search box. Click a summary tile (for example Chờ thanh toán, awaiting payment) to filter quickly.
- Click Đăng ký thi lại (Register resit) and select the students taking part. Each grade record allows the number of resits defined for the unit (1 by default); raising the number in the syllabus re-opens the lane without any other change.
- On a paid row, click the Xếp lịch thi (Schedule exam) icon to place the student in an exam session.
- After the exam, click Nhập kết quả (Enter result). If a student had an exam slot but did not show up, click Vắng thi (No-show) and confirm — the attempt is consumed and the original grade stays unchanged.
Schedule tab
- Open the Schedule tab at the top of the screen.
- Click Tạo ca phòng thi (Create exam slot), choose the room, exam date, start time, and end time, then click Tạo ca (Create slot).
- On a slot row, click the Thêm ca thi theo môn (Add unit session) icon, choose the unit, term, and expected seats, then click Tạo ca thi (Create session).
- Click the Phân công coi thi (Assign invigilator) icon, choose the lecturer and role, then click Phân công (Assign).
Notes
- No-show is not Cancel: a no-show means the student had a slot and missed it, the fee is lost; cancelling happens before the exam and the fee outcome is chosen below.
- When cancelling a paid resit registration, choose one of two outcomes: forfeit (the collected fee stays as revenue) or keep for later (the fee becomes unapplied credit for the student’s future fees). There is no refund to the student’s account in either case.
- Book exam rooms in Campus first, so they do not clash with other activities.
- The old resit schedule link now opens the Schedule tab of this screen.
Canvas Integration
Section titled “Canvas Integration”What it is for. Linking a Portal course offering to the matching course in Canvas, the online learning system, and configuring the Canvas connection. The screen has two tabs — Courses (linking) and Settings (connection setup). These were two separate menu items (Canvas Courses and Canvas Settings); they are now one screen because both share the same permission (view_canvas_integration) and both serve the academic team.
Who can open it. Anyone with permission to view the Canvas integration.
Courses tab — Linking
- Go to Academic Operations → Course Delivery → Canvas Integration (opens the Courses tab by default).
- Check the Integration Status panel to confirm the connection is working.
- Filter by status, term, or unit to find the row to link.
- Select the offering to link and click Map Course.
- Click Sync Courses to pull the latest course list from Canvas.
Settings tab — Connection setup
- Open the Settings tab at the top of the screen.
- Click Add Integration to add a connection (Canvas URL, Client ID, Client Secret).
- Click Authorize to grant access, then you can Sync Courses, deactivate, or delete the connection.
Note. A wrong link sends students into the wrong online class. Check the offering code and the term before confirming. The old URLs (Canvas Courses, Canvas Settings) redirect to this screen.
Term Readiness
Section titled “Term Readiness”What it is for. Answers one question at the start of each term: what is this term still missing before registration opens? The screen gathers the term’s course-delivery gaps into one list, sorted into three levels — Block, Warning, and Done — instead of reconciling several screens by hand. It is read-only: it detects and routes, while the fixing still happens on each source screen.
Who can access. People with permission to view Term Readiness (usually training officers and the training director).
Steps
- Go to Academic Operations → Course Delivery → Term Readiness.
- Read the top bar: the completion percentage and the three counts Block / Warning / Done for the selected term and campus.
- Click an item in the left list to see its detail on the right: the reason and the affected classes.
- Click the open button at the top-right of the detail panel to jump to the right screen to fix it (for example the offering list or Canvas Integration).
- After fixing it on the source screen, come back and click Re-check to refresh the list.
What is on screen. Current items: Classes with no lecturer (Block), Classes with no sessions scheduled (Block), and Classes not synced to Canvas (Warning).
Notes
- This screen changes no data. Every change is made on the source screen so the same data is never written in two places.
- The Export remaining button is under development: clicking it only shows a message, no file is downloaded yet.
- Counts always follow the selected term and campus. If they look off, check the
Campus:line and the selected term at the top.
